This Privacy Policy explains how Hearth Standard collects, uses, and protects information. It covers two groups: our clients (the local service businesses who use Hearth Standard) and our clients' customers (the people who receive text messages, emails, or phone calls sent by Hearth Standard on behalf of a client).

1. Who we are

Hearth Standard is a service that helps local home service businesses run their customer communications — appointment reminders, review requests, missed-call follow-up, customer reengagement, and similar operational messages. We do this on behalf of those businesses; we do not sell to the public ourselves.

2. What information we collect

2.1 From our clients (the service businesses)

When a business signs up for Hearth Standard, we collect:

  • Business name, contact name, business address, phone number, email address
  • Configuration choices (which features are turned on, message templates, schedules)
  • Payment information (processed by Stripe; we do not store card numbers)
  • Communications between the business and Hearth Standard

2.2 From our clients' customers

When a client provides customer information to us, or when we collect information through systems the client integrates with us, we receive:

  • Customer name and contact information (phone number, email address)
  • Appointment details (date, time, service type)
  • Service history and notes the client logs about the customer
  • Inbound messages the customer sends back (text replies, voicemails)
  • Review content the customer leaves on public review platforms
  • Records of which messages were sent and whether they were delivered

2.3 Automatically when you visit our website

Standard log information (IP address, browser type, pages viewed, time on page) and cookies for site functionality.

2.4 What we do not collect

We do not collect or store credit card numbers (handled by Stripe), health information, financial account numbers, social security numbers, government ID numbers, biometric information, or information about children under 13.

3. How we use this information

We use client information to provide the Hearth Standard service, send operational reports and billing, improve the service in aggregated form, respond to support requests, and detect fraud or abuse.

We use customer information solely to deliver the communications and operational tasks the client has configured — appointment reminders, review requests, follow-up messages, and logging which messages were sent.

We do not use customer information to market our own products. We do not sell customer information to anyone.

4. Text messages

If you receive text messages sent through Hearth Standard, those messages are sent by us on behalf of a specific business. The text message will identify that business.

You can opt out at any time by replying STOP, QUIT, END, REVOKE, OPT-OUT, CANCEL, or UNSUBSCRIBE. You may also use plain language like “stop texting me.” Opt-outs are processed promptly — typically within seconds.

For help, reply HELP. Message and data rates may apply. Message frequency varies by the type of service the business is providing.

5. How we share information

5.1 We do not sell your information

We do not sell personal information of clients or of our clients' customers. Period.

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

5.2 With the client

The business that hired us has access to the customer information it provides and to the messages and replies we send and receive on its behalf.

5.3 With service providers

We rely on a small number of trusted vendors to operate Hearth Standard, under contracts that require them to protect information:

  • Twilio — sending and receiving text messages and phone calls
  • Airtable — storing client and customer records
  • Supabase — authentication and account access tokens
  • OpenAI — natural language processing (API does not retain data for training)
  • Stripe — billing and payment processing
  • Google Workspace — internal email and calendar
  • Netlify — website hosting

5.4 When required by law

We may disclose information if required by a legally valid subpoena, court order, or other legal process, or when we believe disclosure is necessary to comply with the law, prevent fraud, or protect safety.

5.5 In a business transfer

If Hearth Standard is acquired or merged, information may be transferred to the new owner subject to this Privacy Policy.

6. How long we keep information

  • Client account information: while active, plus 90 days after cancellation
  • Customer information: while the client account is active; deleted within 60 days of client cancellation
  • SMS consent records: retained for 5 years from consent date or 2 years from opt-out date, whichever is longer
  • Communication logs: retained for the same periods as consent records
  • Website logs: up to 12 months

7. How we protect information

We use reasonable administrative, technical, and physical safeguards including encryption in transit (TLS), access controls, database-level row security, and vendor due diligence. No security system is perfect; if we become aware of a breach we will notify affected parties as required by law.

8. Your rights

Hearth Standard clients can access, correct, or delete account information by emailing chance@hearthstandard.com.

Customers of our clients should contact the business directly. If unable to resolve through the business, email chance@hearthstandard.com and we will work with the business to address the request within 30 days.

Texas residents have rights under the Texas Data Privacy and Security Act. California residents have rights under CCPA/CPRA including the right to know, delete, correct, and opt out. We do not sell personal information. To exercise your rights, contact chance@hearthstandard.com.

9. Children

Our service is for businesses serving adult customers. We do not knowingly collect information from anyone under 13. Contact chance@hearthstandard.com if you believe a child's information was provided to us.

10. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be communicated by email and posted on our website. Continued use of the service after a change indicates acceptance.
